Team Invitations via Email

Getting teammates into a workspace shouldn't require administrative overhead. IT tickets, manual account creation, password distribution — these are friction points that delay the moment when a team member can actually do useful work. The invitation flow should be as simple as sending an email.

Team invitations make it exactly that simple.

How Invitations Work

Open the team management section of your workspace. Enter an email address, select the role to assign, and click Invite. An invitation email arrives in the recipient's inbox within minutes.

The email contains a personal invitation link. The recipient clicks it, completes account setup (or signs in if they already have an account), and immediately lands in the workspace with the assigned role. The entire flow takes under two minutes from invitation to active access.

Role Assignment at Invite Time

Roles are assigned when the invitation is sent. The inviter selects from the available roles — administrator, member, viewer, or any custom roles configured for the workspace. The invited user receives exactly the access level specified, from the first moment they enter the workspace.

This prevents the common scenario where someone gets blanket access and needs role adjustments later. Set it right when sending the invitation.

Pending Invitations

Sent invitations that haven't been accepted appear in a pending invitations list. Administrators can see who has and hasn't joined. Pending invitations can be resent if the email was missed or expired, or cancelled if the invitation is no longer needed.

Invitation links expire after seven days. After expiration, the link is no longer usable, and a new invitation must be sent. This limits the window of exposure for unaccepted invitations.

Existing Account Handling

If the invited email address already has an account on the platform — perhaps the person was invited to another workspace previously — the invitation link adds the workspace to their existing account rather than creating a new one. The person signs in as usual and finds the new workspace available.

Bulk Invitations

For onboarding larger teams, invitations can be sent in bulk by entering multiple email addresses or uploading a list. All bulk invites use the same role selection. Once sent, each invitation is tracked individually in the pending list.

Getting a team of 20 people into a workspace takes as long as it takes to paste their email addresses.
